About the Position:
OCP is a behavioral and mental healthcare agency for children, youth, and their families. The front desk serves as the first point of contact, in person and on the phone. We’re looking for someone who will create a welcoming front office environment for clients, families, visitors, and staff; someone professional and courteous with a positive attitude. This is an English/Spanish bilingual position.
This busy role also supports daily administrative operations including scheduling appointments and meetings, maintaining records, coordinating office logistics, and safeguarding confidential information. The ideal candidate is detail-oriented, customer-focused, and highly organized.
This is a full-time position.
Minimum Job Requirements:
- Two years’ experience in reception, front desk, or administrative support, either in a healthcare or client-facing environment. Strong interpersonal and customer service skills.
- Proficient English/Spanish bilingual communication skills, with the ability to assist Spanish-speaking clients and families.
- Skilled in the Microsoft Office Suite applications, including Outlook and Teams. Very comfortable learning new programs and software, including the Electronic Health Records system.
- Adept at coordinating complex schedules, appointments, meetings, and related administrative logistics. Strong time management, organization, and attention to detail.
- Experience working on a well-functioning team.
- Ability to maintain HIPAA confidentiality and handle sensitive client, organizational, and staff information with complete discretion.

Essential Responsibilities:
Front Office
- Greet and assist clients, families, and others in a professional, courteous, and proactive manner. Maintain an organized and welcoming lobby and reception area throughout the day. Maintain first floor rooms for daily use.
- Provide bilingual support for Spanish-speaking families. Assist the intake coordinator, therapists, and others as needed.
- Answer, screen, and direct incoming calls promptly and accurately.
- Manage complex therapy room schedules, appointments, and conference room reservations using Outlook Calendar, client appointment/reminders software, and related organizational systems.
- Help coordinate reservations for clients needing onsite childcare. Also provide break coverage for childcare staff as needed.
- Work in Electronic Health Records system. Protect the confidentiality and security of all information and records pertaining to clients and staff.
Operations and Administrative Support
- Maintain organized document management and records systems. Support administrative staff with regular recurring duties.
- Manage projects involving data entry, printing, preparing binders, and other projects as needed.
- Manage the workroom behind reception as well as multiple inventory systems and assist with purchasing.
- Reliably complete other related duties as assigned and with a reasonable degree of oversight.

Job Grade 10: $45,393 to $47,050 depending on education, experience and pay equity differentials.
Eligible for increase at 6 months, up to 3% of compensation. Excellent benefits package, work culture, environment.

Location: In person, at 1170 Pearl St. Eugene, OR. Must be able to reliably commute or planning to relocate before starting work.
